Zentid Computer Systems Software Trading LLC ("Zentid", "we", "us", or "our") is committed to protecting the privacy and security of the information entrusted to us. This Privacy Policy explains how we collect, use, store, and protect personal information when you visit our website, use our applications, or interact with our services.
Zentid provides field service management software through Zentid Manage, Zentid Field, the Zentid Customer Portal, The Core, and Zen AI.
Zentid does not sell your personal information. We never have, and we never will. We do not make money from advertising, and we do not share your information with advertisers. We ask only for the information we need to provide our services, and we use it only for the purposes described in this Policy.

Zentid currently provides services to businesses in the UAE and Saudi Arabia.
Depending on how you use Zentid and the features enabled by your organization, we may collect:
Account and Contact Information such as name, email address, phone number, company name, job title or role, and account details.
Workforce and Technician Information such as employee or technician details, attendance and check-in information, job and service activity, location associated with check-ins, photos, service reports, and customer signatures.
Customer and Business Information such as customer and contact details, company and site information, service requests, job and service records, reports, invoice and billing information, and other information entered by an authorized business user.
Technical Information such as device and application information necessary to operate, secure, troubleshoot, and improve our services.
Zentid handles two broad types of information.
Data we control. This is information about website visitors, prospects, and account holders that we collect and use for our own purposes, such as running our website, managing accounts, and communicating with you.
Service data. When your organization uses Zentid, it enters information about its employees, technicians, customers, and operations. This is called service data, and Zentid processes it on your behalf to provide the services.
You own your service data. We recognize that your service data belongs to you. We protect it, limit access to it, and process it only according to your instructions and configuration. You may access your service data, export it, and request its deletion, subject to your account permissions and any applicable agreement.
Zentid's applications are connected through The Core, our shared data layer. Information entered through one application may become available to authorized users through another when necessary to provide the service, according to the permissions your organization sets.
We may use information to provide and operate Zentid services, create and manage accounts, manage field service operations, schedule and manage jobs, support attendance and check-ins, manage customers and service information, generate service reports, manage invoices and billing, provide customer support, maintain platform security and reliability, provide Zen AI functionality, communicate with users, send marketing communications where permitted, comply with legal requirements, and prevent fraud and unauthorized access.
We collect and use information only for relevant and legitimate purposes connected to our services.
Where required under the UAE Personal Data Protection Law, the Saudi Personal Data Protection Law, or other applicable laws, we process personal information on one or more of the following bases: performance of a contract or service requested by you or your organization; compliance with a legal or regulatory obligation; your consent, where we rely on it; and our legitimate business interests in operating, securing, and improving our services, where such interests are not overridden by your rights.
Zentid includes Zen AI, an AI assistant that helps users with field service operations such as scheduling jobs and drafting service reports. When a user requests an AI-assisted task, Zen AI may access information belonging to the relevant organization that is necessary to perform that task.
Customer data is not used to train general-purpose AI models. Zentid does not provide customer data to AI providers for the purpose of training their models.
AI-generated results are intended to assist users. Users remain responsible for reviewing AI-generated information before relying on it.
Zentid Field may collect location information to support attendance, check-in, and field service operations. Zentid does not continuously track technician locations. Location information is collected when a technician actively uses the relevant check-in or location functionality, and may be recorded together with a timestamp. Zentid does not maintain continuous route tracking or continuous location history through this functionality.
Zentid uses selected third-party service providers and infrastructure partners to operate and support the platform. These may include categories such as cloud hosting and infrastructure providers, communication and messaging providers, calendar and scheduling providers, accounting and billing providers, and website analytics providers.
These providers are authorized to use information only as necessary to provide their services to us, and are required to maintain appropriate security and confidentiality measures. Zentid does not sell personal information.
Zentid uses cloud infrastructure that may span multiple regions. Depending on the service involved, personal information may be processed or stored outside the country where you or your organization is located. Where required by applicable law, Zentid takes appropriate measures when transferring personal information across borders.
We use reasonable technical and organizational measures to protect personal information against unauthorized access, loss, misuse, alteration, or disclosure. These include encryption, access controls, role-based permissions, secure cloud infrastructure, and regular backups. Access to customer information is limited according to user roles and permissions. No internet-based service can guarantee absolute security.
In the event of a personal data breach affecting information processed by Zentid, we will take appropriate steps to investigate and address the incident. Where required by applicable law, we will notify the relevant authorities and affected business customers without undue delay. Specific notification arrangements may also be set out in the applicable agreement or data processing terms with a business customer.
We retain personal information for as long as reasonably necessary to provide our services, meet legal and regulatory requirements, maintain business and financial records, resolve disputes, and protect the security of our services.
When you terminate your Zentid account, your service data is deleted from our active databases within 6 months, and from our backups within a further 3 months. Certain information may be retained longer where permitted or required by law, such as for accounting, tax, or dispute-resolution purposes.
To support your own data protection obligations, Zentid can provide a Data Processing Addendum (DPA). You may request a DPA by contacting connect@zentid.com, after which we will provide it for signature.
Depending on applicable law, you may have rights relating to your personal information, including to request access, request correction of inaccurate information, request deletion where applicable, request restriction of or object to certain processing, withdraw consent where processing is based on consent, and request a copy of certain information.
If your information was provided to Zentid by an organization using our services, you may need to contact that organization first, as it may be responsible for the relevant information. You can also contact us at connect@zentid.com. We may need to verify your identity before processing a request.
Zen AI and related features are designed to assist users, not to replace human judgment. Zentid does not make decisions that produce legal or similarly significant effects about individuals solely by automated means without human review. Scheduling, dispatch, and similar operational actions are reviewed and confirmed by an authorized user before they take effect. If we introduce features involving automated decision-making in the future, we will update this Policy and provide any notices required by applicable law.
Organizations using Zentid are responsible for the personal information they enter into the platform, including collecting and using it lawfully, providing appropriate privacy notices to their employees, technicians, and customers, obtaining required permissions or consents, and configuring user access appropriately. Zentid provides the technology and tools; each customer remains responsible for its own use of personal information.
Zentid is designed for businesses and their authorized users and is not directed toward children. We do not knowingly collect personal information directly from children. If you believe a child has provided personal information to Zentid without appropriate authorization, please contact us at connect@zentid.com.
We may update this Privacy Policy from time to time to reflect changes to our services, technology, legal requirements, or privacy practices. When we make changes, we will update the Last Updated date above. Where a change materially affects your rights, we will provide advance notice, such as by email or a prominent notice on our website, before it takes effect.
Zentid operates from the United Arab Emirates and currently serves customers in the UAE and Saudi Arabia. We seek to comply with applicable privacy and data protection laws relevant to our services, including the UAE Personal Data Protection Law and the Saudi Personal Data Protection Law (PDPL), where applicable.
